Admin — access, groups & audit

Add or update a user

Enter a Google-account email and pick one or more groups. Re-entering an existing email updates their groups and note. Owner () is always allowed, regardless. Admin status grants access to this admin page and the ability to manage users/groups/pages/media — only the owner can promote/demote admins.

Organizations

Group client users by organization (e.g. a customer signing in with Microsoft). An organization bundles a set of default groups its members inherit when added — access still flows through groups, exactly as before. Use this to add a client org and the people under it in one place.

Roles

Customizable access roles. Assign them to users (in the add form, the user list, or the edit dialog) and to pages (Pages / Builder). A page tagged with one or more roles is visible only to users holding a matching role — combined with group access by AND (you must be in the group and hold the role).

Invites

Submissions from public request forms (e.g. event invite requests). Accept / Reject record the decision — you contact accepted people yourself. The Open toggle is the form's kill switch: unchecked, the public form stops accepting submissions instantly. A ×N marker means the same email submitted more than once.

Users

Switch between All Users and Archived. Use the row actions to archive, restore, edit, or delete. Admins can delete regular users and archive anyone; only the owner can delete another admin. You can't change your own access.

Add or update a group

Groups are the unit of access. Users belong to one or more groups; pages are visible to one or more groups. Use functional for internal departments and engagement for client/project-specific groups.

All groups

Groups are shared between users and pages. Deleting a group doesn't remove it from users or pages retroactively — you'll need to re-tag those separately.

Content-managed pages

Pages built from blocks and rendered from Firestore — no HTML file needed. Create a draft, add blocks, then submit for review. The static playbooks live under the Pages tab.

Review queue — submitted pages

Open previews the page in a new tab. Approve publishes it — its content goes live for everyone in its groups. Reject sends it back to the author (their working copy is kept). A page that was already live stays live until an edit is approved. You can't approve a page you submitted — the owner can.

Deletion requests — pages awaiting removal

Admins request deletion instead of deleting directly; the page stays live until you confirm here. Approve permanently deletes the page. Reject cancels the request and leaves the page in place. You can't approve your own request — the owner can.

Upload media

Upload videos, images, PDFs, or audio. Set metadata and access, then embed it in a page or copy its link. Display items embed inline; File items are download-only and served through an access-checked link (/file.html) — the raw storage URL is never exposed.

Access is AND, same as pages: a user needs a matching group (if any set) and a matching role (if any set). Neither set = admin-only.
Kind
Auto-set when you pick a file — override if needed. File items get a copyable link that enforces access before download.

Media library

Click Embed to copy a placeholder snippet to paste into any page. Click Edit to change metadata or groups. Click Delete to remove the file entirely.
